Common licence questions

Do I need to buy a Copilot licence for every employee?
No. Microsoft 365 Copilot is an optional add-on licence and you can apply it to as few or as many users as needed. Most organisations start with a pilot group (typically 30–100 users), measure adoption and ROI, then expand. Frontline workers on F1/F3 can use a lower-cost Copilot add-on if they don't need full Office app integration.
What base licence do I need before I can add Copilot?
Microsoft 365 Copilot (the full add-on) requires one of: Microsoft 365 E3, Microsoft 365 E5, Microsoft 365 Business Standard, Microsoft 365 Business Premium, Microsoft 365 F1, or Microsoft 365 F3. Office 365 licences (E1, E3, F3) are not eligible — you need the Microsoft 365 branded licence. If you're on Office 365, upgrading to M365 is usually the first step.
What's the difference between Copilot Chat and Microsoft 365 Copilot?
Copilot Chat (formerly the free tier) provides a web-grounded AI assistant — think a smarter Bing for work. It has no integration with your M365 data, documents, emails, or Teams meetings. Microsoft 365 Copilot (the paid add-on) connects to your entire Microsoft Graph — emails, files, calendar, Teams conversations, SharePoint — and embeds Copilot directly into Word, Excel, PowerPoint, Outlook, and Teams. The productivity difference is significant: Copilot Chat is useful for one-off queries, while M365 Copilot transforms how people work every day.
Is Copilot Studio included in the Microsoft 365 Copilot licence?
Yes — each Microsoft 365 Copilot licence includes 25,000 Copilot Studio messages per month, pooled at the tenant level. This is enough for most organisations to build and run several internal agents. If your usage exceeds 25k messages, you can purchase additional capacity packs (25k messages per pack). Copilot Studio can also be purchased standalone for organisations that want to build agents without the full M365 Copilot add-on.
Can we buy Copilot licences through a Cloud Solution Provider (CSP)?
Yes, and it's often the recommended route. Purchasing through a Microsoft CSP like us gives you more flexibility on commitment terms, billing, and support. CSP pricing can be equivalent to or better than EA/MCA pricing for smaller organisations, and you benefit from a partner who can advise on licence mix, help with deployment, and provide ongoing support — rather than a transactional purchase through the Microsoft admin portal.
How do I measure the ROI of a Copilot licence investment?
Microsoft provides Copilot adoption analytics via the Microsoft 365 admin centre and our own CopilotIQ product gives you a deeper view. Key metrics to track include: time saved per user per week (Microsoft's own research reports 30–60 minutes saved per user per day in heavy users), meeting preparation time, email response time, and document drafting speed. Our ROI Calculator can give you an instant payback period estimate based on your headcount and average salary.
What's the minimum commitment for a Microsoft 365 Copilot licence?
Microsoft 365 Copilot is available on annual commitment (paid monthly or upfront) or monthly flexibility. The annual commitment is approximately 20% cheaper. There is no minimum seat count for the licence itself, but organisations purchasing through an Enterprise Agreement typically need at least 300 seats for the best pricing. SMBs can purchase as few as 1 seat through CSP routes. We recommend starting with a meaningful pilot group of at least 20–50 users to generate measurable data.
